What to do when there is a mapping error and how to avoid them (GIATA)

What is a Mapping Error and How Do We Handle It?

A mapping error occurs when an accommodation is incorrectly linked — for example, the same hotel appears multiple times, data from different hotels gets mixed up, or a property is not properly associated with its correct GIATA ID.
Examples include differences like:

“Hotel ABC Downtown” vs. “Hotel ABC Main Street”

GIATA provides the mapping service, and errors can happen due to the dynamic nature of the data: changes in hotel names, IDs, room types, descriptions, and more. Given the volume of updates processed daily, occasional mistakes are inevitable.

Please note: According to our agreement, we are covered by a disclaimer clause with the operator, meaning we cannot be held liable for mapping errors, just as GIATA itself assumes no responsibility.

What Do We Do When a Mapping Error Occurs?
  1. Monitoring: Our team actively monitors reservations to detect inconsistencies.
  2. Validation: When a potential mapping error is spotted, we contact GIATA to confirm whether it’s an error or simply a case of a hotel listed under a different name.
  3. Operator Communication: Once verified, we inform the Operator so they can take appropriate action:
    • If the booking is refundable, they may cancel the incorrect reservation and rebook the correct property.
    • If the booking is non-refundable, cancellation may incur charges, and we will follow the operator’s decision.
How Can You Help Avoid Mapping Errors?

To minimize these rare cases, we suggest:

  • Always review the hotel names within the Hotels/Accommodations tab of the reservation.
  • Check for discrepancies across the three hotel name columns:
    1. Voucher Name: What appears on the client’s voucher.
    2. Supplier Name: The name provided by the accommodation supplier.
    3. Traces Name (if filled): The hotel name returned by the supplier in traces/logs.
